Salary: $20.89 - $25.54 Hourly

Fleet Parts Specialist: Under minimal supervision, to work with mechanics to determine the appropriate parts to initiate or complete
repairs, to maintain inventory of parts, materials, and supplies, to process related paperwork, and to perform
related duties as required. Participates as a member of a team supporting the efforts of a customer serviceoriented
organization and works in a collaborative manner to foster teamwork with city departments and
divisions.

Under minimal supervision, to work with mechanics to determine the appropriate parts to initiate or complete repairs, to maintain inventory of parts, materials, and supplies, to process related paperwork, and to perform related duties as required. Participates as a member of a team supporting the efforts of a customer service-oriented organization and works in a collaborative manner to foster teamwork with city departments and divisions.

The starting pay for this position is $20.89 - $25.54 hourly, commensurate with experience.  

DUTIES AND RESPONSIBILITIES:

1. Has personal responsibility and accountability for job performance. This includes the following:

2. Purchases, receives, issues, and controls inventory of automotive and equipment parts, supplies, and materials. This includes the following:

  • Assures stock levels are efficiently maintained.
  • Orders all fleet parts and supplies. Reviews mechanics’ parts requisitions to ensure clarify and accuracy, and modifies the order as necessary, conferring with the supervisor as necessary.
  • Works under time constraints when locating needed parts.
  • Advises mechanics on most cost effective and timely manner of obtaining proper replacement parts.
  • Makes spot purchases to support fleet requirements when necessary.
  • Records and coordinates physical and perpetual inventories.
  • Picks up and delivers parts for fleet services.

3. Records all daily transactions into the fleet software tracking program Assetworks including:

  • Opens work orders
  • Charges parts to appropriate work orders.
  • Charges labor to appropriate work orders.
  • Charges commercial labor to appropriate work orders.
  • Closes work orders in computerized fleet maintenance system.

4. Ensures that adequate fuels, oils, and lubricants are available from approved contractors. This includes:

  • Maintains fuel levels to ensure adequate supplies are always available.
  • Assigns Fuel Purchase Cards
  • Reconciles Fuel Purchase Card Statements
  • Posts purchases to units.

5. Maintains and repairs the fuel system and fuel island. This includes:

  • Performs electrical repairs
  • Repairs propane, gas and diesel hoses
  • Oversees contractor repairs as needed at the fuel island.
  • Cleans up spills and maintains assigned areas pit according to EPA regulations and standards
  • Keeps all essential information for annual inspection by the Colorado Dept of Labor and Employment
  • Orders and inputs pump prices for gasoline, diesel, propane, and ethanol as required into the fuel tracking system
  • Adds and removes personnel from fuel management system as needed
  • Instructs fleet users on proper operation of dispensing equipment.

6. Processes all invoices for payment. This includes:

  • Ensures all invoices are charged to the appropriate units, inventory, etc.
  • Coordinates with vendors to ensure accurate billing and credit of invoices
  • Selects the appropriate budget account to be charged
  • Codes and sends all invoices to finance for payment.
  • Creates purchase orders for limits over $1,000.
  • Reconciles City Purchase Card statements.

7. Performs Accounts Receivable functions. This includes:

  • Invoices customers
  • Maintains spreadsheet for customers billed
  • Contacts “past due” customers
  • Receives and forwards checks for deposit.

8. Solicits and reviews bids. This includes the following:

  • Prepares bid specifications and contract documents.
  • Works directly with vendors in obtaining information for required parts or services.
  • Recommends contracts based on cost, quality of product, service, and availability. This involves analyzing bids, computing billing charges, recommending purchases, securing purchases, and distributing items.
  • Orders and research new equipment for the fleet shop as necessary (e.g., shop equipment, tools, machinery); ensures all specifications are complete and accurate to meet the city’s needs; obtains bids as necessary, generates necessary documents, and delivers to appropriate personnel.
  • Interviews vendors and manufacturers to maintain up-to-date knowledge of new vehicles, equipment technology, and operations.

9. Works with Fleet mechanics when assistance is required. This includes:

  • Performs road-call assistance in the absence of mechanics.
  • Shuttles vehicles, which do not require a commercial driver’s license (CDL) to vendors as necessary.
  • Picks up City personnel from vendors as necessary.
  • Repairs shop equipment as needed.
  • Schedules vehicles / equipment for service and repairs.
  • Calls vendors to schedule dates and delivery / pickup times.

10. Maintains and repairs the car wash facility as needed. This includes:

  • Repairs and replaces hoses
  • Cleans up debris
  • Maintains catch basin
  • Instructs fleet users on proper operation
  • Oversees contractor repairs as needed at the car wash.

11. Maintains computerized records, maintains databases, and generates routine reports as necessary. This includes:

  • Enters data into the fleet software system including vehicle information (acquisitions / disposals), employee information and vendor information
  • Research work orders as necessary to find parts / labor / commercial charges not charged out.
  • Files work orders in appropriate history / maintenance folders.
  • Files mechanics daily time sheets.
  • Keeps monthly record of shop supplies and lost/missing inventory.
  • Keeps monthly record of parts / labor / commercial charges not charged out by mechanics.

12. May be required to work irregular hours, weekends, evenings, holidays, and/or emergencies, including snow. 

13. Provides input to management regarding annual budget. 

14. Other:

  • Performs related duties as required to meet the needs of the city.
  • Takes proper safety precautions to prevent accidents. Responsible for the safety of self, others, materials, and equipment. Uses all required safety equipment and follows all safety regulations, policies and procedures. Reports all accidents and damage to city property.
  • Know and comply with all city and department policies; participate in professional trainings and development; and adhere to attendance and workplace attire policies.
